How it works
An invoice asks for payment for work already done. A quotation, also called an estimate, tells a client what the work will cost before they agree. A proforma invoice is a preliminary bill, often used for customs, advance payments or to let a buyer arrange funds. This generator produces all three from the same list of items, with the right wording for each.
Subtotal = sum of (quantity × unit price)
Tax = (subtotal − discount) × tax rate
Total = subtotal − discount + tax
Each line is rounded to the nearest cent, the discount is taken off the subtotal, and the tax is worked out on the discounted amount. If your country requires tax to be rounded per line or at a different stage, adjust the figures by hand.
Good to know
What a good invoice contains
Most countries expect a unique invoice number, the date, the seller's and buyer's names and addresses, a clear description of the goods or services, the amounts, the tax shown separately, and a due date with payment details. In the EU, UK, Australia, India and many other places, a registered business must also show its tax registration number. Put it in the From box.
Choose the tax name that your country uses: VAT in Europe and the UK, GST in Australia, Canada, New Zealand, Singapore and India, and sales tax in the United States. The tool only changes the label and the arithmetic. It does not know which rate applies to your sale. Check that with your tax authority or accountant.
Invoices created here are plain documents. They are not e-invoices in a government format such as Peppol, ZATCA or GST e-invoicing. If you are required to use one of those systems, use the official tool and keep this generator for quotations and simple invoices.
Frequently asked questions
Can I use it for any currency?
Yes. Pick the currency and the symbol and number style change. There is no conversion. Enter prices in the currency you will bill in.
How do I add more than one tax rate?
This tool applies one rate to the whole document. For mixed rates, make one document per rate or add the tax as a separate line item with tax name "No tax".
Is the document saved anywhere?
No. It is built in your browser and disappears when you close the page. Use print and Save as PDF to keep a copy.
What is a proforma invoice?
A preliminary bill sent before goods or services are delivered. It is not a request for payment under the tax rules in most countries and does not replace the final tax invoice.
